PRIMARY PURPOSE: 

Performs confidential administrative support duties to all divisions of the District. Responsible for performing routine clerical and administrative work included but not limited to answering phones, receiving the public, providing customer assistance, data processing, filing, supply ordering, processing records requests, and assisting with some phases of payroll and bookkeeping.  

This part-time Office Assistant provides administrative and clerical support to District staff, leadership, and the Board of Directors. This position serves as a primary point of contact for the public and assists with a variety of office functions, including customer service, records management, meeting support, data entry, correspondence, and general administrative duties. The position requires strong organizational skills, attention to detail, professionalism, discretion in handling confidential information, and the ability to work independently in a public service environment.

ESSENTIAL FUCTIONS:

 

·Assists the Finance Officer with organizing and coordinating administrative and business office functions of   the District, per requirements of the Fire Chief, State Statutes, District Policies and/or Standard Operating Procedures.

· Provide clerical support as necessary to the stations, personnel, and volunteers as directed by the Finance Officer.

· Attends Board meetings to take written minutes of the meeting and to record Board meeting proceedings as directed by the Finance Officer.

· May be asked to compile and compute information for a variety of reports and/or documents as necessary.

· May be asked to assist staff with the preparation of District correspondence and community notifications under the direction of the Finance Officer.

· Assists Finance Officer with accounts payable, payroll, and human resources.

· All other duties as requested by the Finance Officer.

SKILLS:

· Strong knowledge and skills use of Windows, Outlook, and Microsoft 365 programs specifically Microsoft Word & Excel

· Excellent oral and written communication skills

· Ability to maintain confidentiality

· Must possess strong interpersonal skills

· Maintain professional and positive demeanor

· Excellent typing skills

· Detail orientated

·  Understanding of financial bookkeeping

·  Ability to multi-task

·  Proven accuracy and attention to detail

JOB SPECIFICATIONS:

  • Any combination of education, training, or experience that provides the required knowledge, skills, and abilities to perform essential functions.
  • Knowledge of basic report writing and business communication.
  • Ability to work independently and use discretion in performance of duties within District policy and procedural guidelines.
  • Ability to prepare reports and maintain accurate records.
  • Ability to effectively communicate in English, both orally and in writing, as needed for the functions of this job.

  • Handle information in a confidential manner.

MINIMUM QUALIFICATIONS:

1.  Education & Experience:

· High school graduate or GED equivalent

· Four (4) years of administrative office experience with increasingly responsible related experience, or equivalent combinations of related education and experience.

2.  Necessary knowledge, skills, and abilities:

· Working knowledge of computers, and electronic data processing software to include word processing, spreadsheets, databases, e-email, and calendar development programs.

· Working knowledge of modern office practices and procedures.

·  Ability to effectively meet and serve the public.

·  Ability to communicate effectively verbally and in writing.

·  Ability to handle stressful situations.

3.              Valid Oregon Driver’s License

4.              Ability to pass a criminal background check/drug screen

PHYSICAL DEMANDS:

·  Prolonged periods of sitting at a desk and working on a computer.

·  Ability to lift to 20 pounds.

·  Engaging in repetitive movements of wrists, hands, and fingers – typing and/or writing.

·  Working frequently at close visual range (i.e. preparing and analyzing data and figures, transcription, computer terminal, extensive reading).
